Payments and Bookings
All fees are quoted in £ Sterling.
VAT registration number: 304 1723 46
VAT is charged at the prevailing UK vat rate (@20%).
Conference fee includes entrance to the Conference (/session as specified), lunch, refreshments and a Certificate of Attendance upon request (/*completion of the 'post event delegate feedback survey' is required for CPD).
All bookings made prior to the conference must be paid in full to guarantee registration.
Once payment has been received, an email confirmation and a receipt of payment will be sent.


Student Status
Please note you will be required to provide ID and proof of full time academic study on arrival.
A current student ID card may be used as proof of status or letter from the University Registrar on letter headed paper, stating the course on which you are enrolled and the dates of your course, dated within the last 4 months.


Access Requirements
Delegates should advise of any special access requirements at the time of registration.

 

Important notice re COVID-19:

The Event will operate in accordance with the latest UK Government and Public Health England guidelines regarding Covid-19 and will operate under the Event Industry’s All Secure Standard, a comprehensive set of guidelines to keep you safe at our Events. As a result of these measures we may be required to manage the flow of visitors to specific areas of the Event, including, but not limited to, features, theatres and exhibition halls, to ensure we remain compliant with visitor density requirements.

Please note any interaction with the general public poses an elevated risk of being exposed to COVID-19 and we cannot guarantee that you will not be exposed while in attendance at the event.

We encourage you to follow the Organiser’s and venue’s safety policies, as well as local laws and restrictions.


Substitutions, Alterations, Cancellations and Curtailments
It may be necessary to make alterations to the event. The Organiser reserves the right to alter vary the content, timing, speaker personnel, date or venue at their discretion in circumstances beyond its reasonable control without any obligation to make any refunds or exchange tickets. Where possible the Organiser will take all steps necessary to inform all relevant parties.

 

Cancellations (by the Organiser):

If the Event is rescheduled or moved, the Organiser will give you the options of either retaining or exchanging your tickets for the new date/location. If the Event is cancelled, you may be offered the option to transfer your ticket to a future event or a refund on your tickets. Please note that any Booking Fees and/or Transaction Fees are not refundable in these circumstances. Liability will be limited to the amount of the fee paid by the delegate.

If the Event is rescheduled, changed, moved or cancelled the Organiser cannot be held responsible for any resulting costs you may incur for travel, accommodation and other related goods, services or compensation.

In the event that the government re-imposes venue capacity limitations it may be necessary to retrospectively impose attendee capacity limitations which may impact your booking. In this event tickets may be subject to reconfirmation, suspension, cancellation or price alteration at the absolute discretion of the Organiser. In the event of ticket cancellation refunds (limited to the amount of the fee paid by the delegate) will be made within 28 days of the event date. The Organiser will take all necessary and reasonable steps to inform all relevant parties.

 

By the registrant:

Delegates may nominate an alternative person to attend up to 72 hours prior to the start of the event at no extra charge assuming that the substitute person holds the same membership status or additional fees may be required.

Conference bookings are non refundable*[* except in the case of mitigating circumstances. Booking cancellation requests are assessed on a case-by-case basis. If cancellation is authorised registration fees will be refunded less a £25.00 administration fee. If you wish to request the cancellation of a booking please contact us as early as is possible in writing at: info@londontrauamconference.co.uk Please note that any refunds due will be paid after the conference has taken place. ].

Liability will be limited to the amount of the fee paid by the delegate.

 

 


Limitation of liability

The Conference organisers do not accept responsibility for loss or damage to delegates’ own property and/or personal effects caused by events beyond its control, including (but without limitation) theft, accidental damage, fire, flood, strikes, civil disturbances or for consequential loss or damage of any kind whatsoever.
Views expressed by speakers are their own. The organisers cannot accept liability for advice given, or views expressed, by any speaker at the conference or in any material provided to delegates.


Alterations to the Programme and Faculty
Cancellation/Postponement of Event It may be necessary for reasons beyond our reasonable control to alter the advertised content, timing and/or location of the conference or the advertised speakers.
1. We reserve the right to make alterations to the conference programme, faculty, venue and timings.
2. In the unlikely event of the programme being cancelled by the organiser, a full refund will be made. Liability will be limited to the amount of the fee paid by the delegate.
3. In the event of it being found necessary, for whatever reason, that the conference is being postponed or the dates being changed, the organisers shall not be liable for any expenditure, damage or loss incurred by the delegate.

Photography & Filming
The London Trauma Conference plan to take photographs and video materials at the conference and to reproduce elements captured in promotional materials. This might include but is not limited to: in print (internally or in third party publications), electronically or in other media including via the website and social media. By participating in and/or attending the conference, you grant the event organisers the right to use images resulting from photography/filming for such purposes. Delegates who do not wish to be filmed or recorded should advise the organisers by email to info@londontrauamconference.co.uk prior to the event.

Privacy and Data use Policy
In agreeing to the terms and conditions here you are confirming inline with our privacy policy as outlined here: https://www.londontraumaconference.co.uk/Privacy-Policy We will use registration information for the purposes of event communication & information including but not exclusively; Registration details & payment information, programme information & updates, social functions associated directly with the event, accommodation & travel, speaker information & updates and Conference App details. As a legitimate reason of the data controller, Sandstone Medical Ltd. uses appointed third party suppliers: Ex Events (a trading name of Burnbrae Events Ltd.) and Eventscase Ltd to facilitate the distribution of delegate confirmations and badges. In the event that delegate badge scanners are deployed at the conference, please note, that by allowing your delegate badge to be scanned by an exhibitor or sponsoring party you are consenting for your personal data to be passed to the scanning party, who may contact you by post and email in regards to the products and services which they offer.

 


 

Terms & conditions from Eventscase:
In these terms and conditions "Eventscase" refers to Eventscase Limited. Eventscase sells all tickets as an agent on behalf of the organisers, Event Organisers, speakers, venues or producers of an event (referred to as a "Event Organiser") on these terms and conditions and subject to any other terms, conditions or rules applicable to that event.


Responsibilities
It is the event organiser’s, not Eventscase’s, responsibility to contact you if there is a problem with an event. Eventscase services are just limited to providing event software tools for event organisers. Any other service or product does not involve Eventscase and must to be dealt with directly between the event organiser and ticket purchaser.


Eventscase has absolutely no control over payments, refunds or cancellations. It is the event organiser’s responsibility to have a refund and terms and conditions policy for ticket purchasers.


Should you encounter any possible fraud from an event organiser, please contact the help center in order to block their account.


Delivery and collection
Tickets will be sent to you by email or you can download directly from the website.
Always check your tickets upon receipt and advise us promptly of any errors. Mistakes when ordering cannot always be corrected and any corrections are discretionary. Contact your event organiser for any possible changes.


Cancellation Rights and Refunds
Eventscase has no control over payments. Tickets cannot be transferred, exchanged or refunded once purchased other than for the reasons set out in these terms and conditions of the Event Organiser.


Event Registration
When registering or purchasing a ticket for an event, all your account information on Eventscase will be exported to the attendee list of the event organiser. If you are to change your name or any additional information from your Eventscase’s profile, your new data will be syncronised with any attendee list you are registered.


Cancellation, change or postponement of an event
Decisions to change or cancel events are the responsibility of the Event Organiser. Eventscase cannot inform you about any change or cancellation of any event or be held responsible for refunds or for any resulting costs you may incur for travel, accommodation, any other related goods or service or other compensation.


You should always check that an event is going ahead at the scheduled date, time and venue.


If an Event Organiser cancels an event or makes significant changes to the venue, date, schedule time or/and any other changes, they should notify you through the message system or email.


If an event is rescheduled, deferred, changed or moved, the Event Organiser will usually give you the option of either retaining or exchanging your tickets for the new date/location, or alternatively claiming a refund. If an event is cancelled by the Event Organiser you will normally be offered a refund. Please note that the Booking Fee and any Transaction Fees are not refundable in these circumstances.


Attending an event
Events are not the responsibility of Eventscase. Eventscase does not organise events and has no responsibility whatsoever for any loss or damage of any kind suffered at or in connection with any event (including loss, damage or theft any personal property at an event).
Admission to an event is at all times subject to any terms, conditions or rules of the Event Organiser and the venue operator. If you breach those terms, conditions or rules then the Event Organiser or venue operator may refuse admission or require you or other ticket holders to leave the venue.
Amongst other things you will need to comply with health and safety rules and any security requirements (including security searches for the safety of those attending the event). The venue or the Event Organiser will have rights to refuse admission or eject you in certain circumstances and these are likely to include if you are involved with abusive, threatening, drunken or other anti-social behaviour, or carry offensive weapons or illegal or prohibited substances or make unauthorised audio, video or photographic recordings. There will often also be rules restricting or preventing the admission of latecomers.


When you receive your tickets check the details carefully.
